This notice explains how X-Playce collects, uses, and protects the personal data of candidates who apply for positions within our organization.

Who we are

X-Playce is a platform combining cryptocurrency, gaming, NFTs, and tournaments. As part of our growth, we recruit talented individuals worldwide. For the purpose of data protection law, X-Playce acts as the data controller for all personal data collected during the recruitment process.

This notice applies to all job applicants, candidates assessed for potential future roles, and anyone who submits their details as part of a speculative application or talent pool registration on our platform or through third-party job boards.

By submitting an application to X-Playce, you acknowledge that you have read and understood this Candidate Privacy Notice and consent to the processing of your personal data as described herein.

Data we collect

We collect personal data that you provide directly, as well as information obtained from third-party sources such as recruitment agencies, professional networks, or background check providers where permitted by law.

Identity & contact
Full name, email address, phone number, location, nationality, and profile photo if provided.
Professional background
CV, resume, cover letter, work history, education, qualifications, and LinkedIn profile.
Assessment data
Interview notes, test results, skills assessments, and evaluations from the selection process.
Special categories
Where legally required, disability or accessibility needs for interview accommodations only.

How we use your data

We process candidate data solely for legitimate recruitment and hiring purposes. We do not use your data for unrelated commercial activities, and we do not sell your personal information to third parties.

Purpose Details
Application processing Reviewing your application and determining your suitability for the role you applied for.
Communication Keeping you informed at each stage of the recruitment process and scheduling interviews.
Assessment & selection Conducting interviews, skills tests, and any required background or reference checks.
Talent pool With your explicit consent, retaining your profile for future relevant vacancies at X-Playce.
Legal compliance Complying with applicable employment, immigration, and anti-discrimination laws.
Onboarding If your application is successful, using your data to initiate the employment onboarding process.

Legal basis for processing

We rely on the following legal bases to process your personal data, depending on the activity:

  • Legitimate interests — Evaluating your application and managing the recruitment pipeline, where your interests do not override ours.
  • Pre-contractual necessity — Taking steps at your request prior to entering into an employment contract.
  • Legal obligation — Compliance with applicable employment, tax, and immigration laws in relevant jurisdictions.
  • Consent — Where we retain your profile for our talent pool or process special category data, we rely on your explicit consent, which you may withdraw at any time.

Data sharing & transfers

We share your data only with parties who have a legitimate need to access it as part of the recruitment process. All third parties are bound by confidentiality obligations and are prohibited from using your data for any other purpose.

  • Hiring managers & HR — Internal teams directly involved in the recruitment and selection decision.
  • Recruitment partners — Agencies or platforms used to source candidates, subject to data processing agreements.
  • Background check providers — Third-party providers used to verify credentials, where legally permitted and with your knowledge.
  • IT & ATS providers — Software providers managing our applicant tracking system, acting as data processors under our instructions.
  • Legal authorities — Regulatory or government bodies when required by law or to defend legal claims.

Where data is transferred outside your country of residence, we ensure appropriate safeguards are in place, including Standard Contractual Clauses (SCCs) approved by relevant data protection authorities.

Section 06

Retention period

We retain your personal data for no longer than is necessary for the purposes described in this notice or to fulfill our legal obligations.

Scenario Retention period
Unsuccessful applicant Up to 12 months from the end of the recruitment process, unless you consent to retention in our talent pool.
Talent pool consent Up to 24 months from the date of your consent, after which we will request renewal or delete your data.
Successful applicant Your data is transferred to your employee record and retained in accordance with our Employee Privacy Policy.
Legal claim or dispute As long as necessary to resolve any legal or regulatory matter relating to your application.

Your rights

Depending on your jurisdiction, you have the following rights regarding your personal data. To exercise any of these rights, please contact us using the details in Section 08.

  • Right of access — Request a copy of the personal data we hold about you and information on how it is processed.
  • Right to rectification — Request that we correct any inaccurate or incomplete personal data without undue delay.
  • Right to erasure — Request deletion of your personal data where there is no longer a legitimate reason for us to retain it.
  • Right to restriction — Ask us to restrict the processing of your data in certain circumstances, such as while accuracy is contested.
  • Right to portability — Receive your data in a structured, commonly used, machine-readable format and transmit it to another controller.
  • Right to object — Object to processing based on legitimate interests, including profiling, where your individual situation warrants it.
  • Right to withdraw consent — Where we process data on the basis of consent, withdraw that consent at any time without affecting prior processing.
  • Right to lodge a complaint — File a complaint with your local data protection supervisory authority if you believe your rights have been infringed.

We will respond to all legitimate requests within 30 days. In complex cases, we may extend this period by a further two months and will notify you accordingly.
